Event Planner Expo 2025

A New York floral and event decor studio steps onto the Expo floor for the first time and walks away with the corporate clients they had been chasing for years.
“I had a conversation on day one that turned into our biggest account. I never would have gotten in that room without EPX.”
Sarah Okonkwo, Founder, Blossom Design Co.

Background

The Stakes

Blossom Design Co. had built a loyal client base through wedding referrals and Instagram. The work was getting stronger. The audience was not growing. Corporate clients, higher budgets, larger productions, and recurring annual events had always been out of reach. The team was ready. The room was not accessible. The Event Planner Expo is the largest annual gathering of professional event planners in New York City. Two thousand buyers on one floor in a single day, from corporate event directors managing annual event calendars to independent planners booking 20-plus events per year. For a vendor looking to break into the professional market, no single environment concentrates that level of qualified buying authority in one place.

02

The Challenge

What Made This Hard

Blossom had never exhibited at a professional trade event. The investment — booth, travel, staffing, materials — was significant for a growing studio. Without a clear strategy for who to approach, how to start conversations, and how to follow up within 48 hours, the investment would produce a stack of business cards and nothing else. The risk was not only financial. A first impression in front of 2,000 professional buyers carries weight. The team needed to show up looking like a partner worth calling, not a vendor passing out brochures to people who had seen a thousand vendors before them.

03

Why They Chose EPX

Why The Event Planner Expo

After considering the industry event calendar, Blossom’s founder chose the Event Planner Expo for one reason: the room. Every attendee on the Expo floor is an active, professional event planner with real purchasing authority. There are no general admission tickets. No students. No tire-kickers. The density of qualified buyers concentrated in one venue in a single day is not replicated anywhere else in the industry. The EMRG Media exhibitor team walked Blossom through pre-event preparation: floor traffic patterns, pre-event outreach tools, and a booth positioning brief that told them exactly where to stand and who to approach first. That preparation was the difference between having a presence and building a pipeline.

04

On the Floor

What Happened

The floor opened with over one hundred conversations logged across the day. Not business card exchanges. Real conversations with planners who asked questions, requested lookbooks, and asked to reconnect before the day ended. By close, eight follow-up meetings had been locked in for the following week. Three of those follow-ups converted to signed contracts. One was a client Blossom’s founder had been reaching out to on LinkedIn for two years, with no response. She walked up to the booth before noon.
Signed up for next year before they packed up the booth. The ROI was clear before they left the building.
